Getting started

What is TradeXCapital Bids?

A procurement workspace for South African SMMEs. It pulls live tender records from the National Treasury eTender feed, helps you decide which tenders you can actually win, organises the bid paperwork in a Bid Room, and offers purchase-order funding and invoice discounting when you win.

How do I sign up and log in?

Go to tradexcapital.io and choose “Get tenders for you” (or Log in if you already have an account). Sign in with your work email and password. There is no Google sign-in or magic link on the current form.

Where do the tenders come from?

From the National Treasury eTender feed. When the product was mapped on 20 October 2026, there were about 500 open opportunities in the catalogue. Each opportunity page shows a source-confidence note with the date the source was last checked.

Is there a free plan?

Yes. The Discovery plan is free: you can browse and filter the full catalogue and save tenders. Paid plans add matching, the Readiness Passport, Bid Rooms and more (see Plans and billing below).

Company profile and onboarding

Why do I have to complete onboarding?

Onboarding builds the business record the whole platform works from: matching, the Readiness Passport, Bid Rooms and funding all draw on it. It has six sections - company details, tender preferences, directors, bank accounts, consents, and submit.

What happens after I submit my profile?

It goes to the TradeXCapital team for review. Your Company profile screen shows the record, a completeness percentage and a standing (for example “Verified”). The record stays editable while verification is handled.

How long does verification take?

Verification times vary per user. Confirm the expected timing with the TradeXCapital team directly.

Finding and deciding on tenders

What is the difference between Explore and For You?

Explore is open discovery: search the whole catalogue and filter by province, category, estimated contract value, closing window and submission method. For You is a personalised shortlist built from your tender preferences (work categories, provinces, keywords and contract values), sorted into buckets like worth your attention, ready to bid, fixable gap and being watched, with a reason given for each match.

Why does a tender show as a “fixable gap”?

A compliance gap is blocking the bid - for example an expired letter of good standing. The page names the gap and links straight to the Readiness Passport so you can fix it.

How do I change which tenders I get matched to?

Update your tender preferences: work categories, delivery areas (National plus the nine provinces), free-text keywords and contract value ranges.

What do the four decision buttons on an opportunity mean?

“I will bid” commits to preparing the bid. “Fix then bid” means you will bid once a compliance gap is closed. “Watch it for me” tracks the tender without committing. “Not for me” rules it out and keeps that choice on record.

Can I change a decision later?

Yes. Decisions are saved and can be changed.

Readiness Passport

What is the Readiness Passport?

A reusable evidence record - registration, ownership, tax, statutory and director evidence, capability proof, commercial records and your bid history - so the same document is never uploaded twice. A tender-ready percentage rises as evidence is uploaded, reviewed and kept valid.

Do I have to upload the same document for every bid?

No. Bid Rooms draw from your current Passport documents automatically.

What happens when a document expires?

Each upload can carry an expiry date. Expiry reminders feed the gap alerts in For You, so an expiring document shows up before it blocks a bid.

Who can see my Passport documents?

Visibility is explicit: you and your team always see them, TradeX reviewers see them on request, and the funding team does not.

Bid Rooms

What is a Bid Room?

One place per opportunity that keeps every decision, task, returnable, price, quote, review and submission proof attached to that tender. It runs through six stages: Brief, Decision, Returnables, Price, Quotes, and Review and submission.

How does the platform handle a physical submission deadline?

For physical submissions the Bid Room builds a timeline backwards from the deadline: print, sign and seal; courier; in the tender box by closing time.

Does TradeXCapital submit the bid for me?

No. You follow the tender’s own submission route - tender box, portal or email - and keep the proof of submission in the Bid Room.

Why does my Bid Room mention demonstration items?

Some accounts currently show demonstration content in Bid Rooms (the page itself says so, for example “Tap a status to mark a demonstration item ready”). Treat those returnables and dates as illustrative, not live obligations.

Funding

What funding can I apply for?

Purchase-order funding and invoice discounting, under Apply for funding.

How does a funding application work?

Five steps: funding request, PO or invoice details, the PO or invoice issuer, supporting documents, and declarations. A completeness percentage tracks required items and submission unlocks only when everything is complete. Drafts can be edited, saved or deleted; submitted applications move through review and approval in one pipeline view.

Does applying for funding affect my bid?

Funding is deliberately kept separate from procurement: a bid is not a finance deal, and any hand-off between the two is explicit and consented.

Privacy and your data (POPIA)

How do I get a copy of my data?

You cannot delete your own data in the product. You can request that it be deleted - raise it with TradeXCapital through the contact page, and POPIA gives you the right to make that request.
